Hotel wedding package cost breakdown: how to read your quote
Read beyond the plate price. Understand the room commitment, tax treatment and contract clauses that determine what your family will actually pay.
Quick answer
A hotel wedding package cost breakdown should add venue rental, guaranteed meals, room-nights, décor, vendor charges and applicable tax—not just the plate price. As of 2026, GST on core accommodation, catering and venue services spans 5%–18%, depending on the supply and conditions.1 Compare identical programmes by dividing the complete agreed scope by unique guests, then assess cancellation and unused-room liabilities separately.
- Compare the complete stay and function programme, not the cheapest plate.
- A minimum guarantee can mean paying for guests who do not attend.2
- Unused rooms can create a liability: negotiate release deadlines before signing.3
- GST is not a service charge; automatic food-bill service charges cannot be imposed.4
Use a hotel wedding package cost breakdown to turn a sales proposal into a spending plan. Ask the hotel to itemise the exact spaces, meals, room categories, dates, inclusions and exclusions. Keep the commercial quote beside the booking contract: a reassuring total is not enough unless the commitments underneath it match your guest list and programme.
What belongs in a hotel wedding package cost breakdown?
Separate accommodation, event spaces, food, décor and production before comparing totals. Hotel wedding offerings can cover indoor and outdoor venues, customised menus, décor and audiovisual support; availability does not establish that every element is included in the quoted package.5
Venue and lawn charges
Request the name of each booked space, its access period, exclusivity and rain-backup arrangement. Record setup and dismantling access separately from guest-facing hours. Ask whether furniture, cleaning, air-conditioning, electricity, generators, parking and a bridal changing room are included. Where rental is waived against a spending commitment, have the qualifying expenditure written into the offer.
Per-plate food and beverage
Ask for a menu and service period against each meal or function. Specify vegetarian, non-vegetarian and dietary requirements; live counters; drinking water; tea; soft drinks; desserts; and late-night food. Confirm whether staffing, crockery and linen are included rather than assuming the food rate covers them. Package boundaries and priced add-ons are fundamental to banquet costing.2
Keep alcohol, bar staffing, mixers, ice, corkage and any applicable permits on separate lines for clarification. Cross-check room-plan breakfasts against banquet meals to prevent overlapping billing. Use the catering cost and per-plate guide when deciding which menus to request.
Décor, production and vendor access
Obtain a deliverables list for the mandap, stage, flowers, furniture, lighting and sound. Replace “basic décor” with specifications or an approved reference. Request the outside-vendor policy before hiring a decorator: record access levies, power charges, loading arrangements, crew meals, damage deposits and dismantling obligations. Ask who invoices each item and who resolves a failure.
How does a minimum guarantee change the food bill?
A minimum guarantee is the committed number of chargeable covers, even when fewer people attend. It is a billing floor, not simply your attendance estimate.2
For illustration, a guarantee of 200 covers at ₹2,500 per plate produces a ₹5 lakh food bill before GST, even if only 170 guests eat; charging actual attendance instead would have produced ₹4.25 lakh.6 The cheaper-looking plate price therefore needs to be read alongside the guaranteed quantity.
Ask for the guarantee separately for each function, with the deadline and procedure for revising it. Specify the agreed charge for additional guests and how attendance will be recorded. Do not assume that unused lunch covers can be transferred to the reception. Obtain written agreement for any pooling of guarantees.
Distinguish a cover guarantee from a minimum spending commitment in the wording you approve. Ask which food, beverage or rental charges count towards a spending threshold. Have the hotel identify the treatment of children, drivers, photographers and other working crew, and nominate a family representative to approve chargeable additions.
What should you check in the room block?
Budget room-nights, then check the financial commitment behind the block. A contracted block can leave the organiser liable for unused rooms, depending on its attrition and release terms.3
Illustratively, 100 rooms for 2 nights equals 200 room-nights; at ₹8,000 per room-night, accommodation is ₹16 lakh before GST.7 A headline room count without arrival and departure dates is not an adequate accommodation budget.
Request a night-by-night allocation showing categories, occupancy, breakfast, extra beds, children’s treatment and early-arrival or late-departure requirements. Mark bridal suites, accessible rooms and crew accommodation clearly. Confirm whether the family pays centrally or guests settle their own rooms, and whose account carries incidentals.
Separate the booking-link cutoff from any penalty-free release deadline: insist that the agreement explains both. Ask for periodic reports of rooms actually booked and credit for eligible guests who reserve through another channel.3 Build the allocation using the wedding room-block guide before guaranteeing inventory.
How much GST applies to rooms, banquets and catering?
GST on a wedding hotel booking depends on the actual supply, not the package name or the hotel’s star label. Ordinary accommodation at a taxable value up to ₹7,500 per unit per day attracts 5%; above that threshold it attracts 18%.8
| Supply | Taxable value or qualifying condition | Total GST (%) | Important qualification |
|---|---|---|---|
| Hotel accommodation | Up to and including ₹7,500 per unit per day | 5 | Supplier cannot claim input tax credit for this supply. |
| Hotel accommodation | Above ₹7,500 per unit per day | 18 | Use taxable transaction value, not a brochure rack rate. |
| Restaurant service | Other than at specified premises / at specified premises | 5 / 18 | Lower rate carries the no-input-tax-credit condition. |
| Event catering, including catering with venue rental | Qualifying non-specified premises and eligible supplier / other cases | 5 / 18 | Both location and supplier conditions matter; lower rate has no input tax credit. |
| Standalone commercial hall or lawn rental | Space rental, without a qualifying catering composite supply | 18 | Do not apply the catering rate automatically to bare rental. |
The accommodation reduction to 5% took effect on 22 September 2025; an older quotation showing 12% for a current qualifying stay needs revision.8 The official GST FAQs and GST Council service-rate schedule, read with subsequent amendments, are the reference points—not an old wedding brochure.
“Specified premises” is a tax classification. Since 1 April 2025, it includes premises where any accommodation unit was actually supplied above ₹7,500 per day in the preceding financial year, or premises validly opted into that classification.11 Ask the finance team to confirm the status for the financial year of your event.
For event catering, including catering bundled with venue rental, 5% requires non-specified premises and a supplier who neither provides hotel accommodation at specified premises nor is located in specified premises; otherwise the relevant rate is 18%.9 Booking a cheaper room for your group does not, by itself, establish eligibility for the lower catering rate.9,11
Request the service classification, taxable value and GST against each supply. For bundled rooms, meals and functions, obtain written classification from the hotel’s finance team; merely splitting an invoice is not a substitute for examining the actual supply. The table is a checking framework, not an instruction to impose the same tax treatment on every package.
What does an itemised wedding venue quotation look like?
An actionable wedding venue quotation format shows quantities, tax treatment and exclusions beside the price. The following is a worked illustration, not a market rate or a hotel offer: 200 unique guests, 100 double-occupancy rooms for 2 nights and 4 separately billed functions.12
Assume a specified-premises hotel and correctly classified hotel supplies taxed at 18%.12 Breakfast is included with rooms; the separately billed functions cover the other planned meals. Outside-vendor access is assumed waived. Décor and sound are purchased separately, with tax already included in that supplier’s assumed amount.12
| Quote line | Quantity and rate (₹ per stated unit) | Amount (₹ lakh) | What to clarify |
|---|---|---|---|
| Rooms, before GST | 100 rooms × 2 nights × ₹8,000 per room-night | 16.00 | Categories, occupancy and breakfast included. |
| Food, before GST | 4 functions × 200 covers × ₹2,500 per plate | 20.00 | Menus, guarantee and service period for each function. |
| Venue rental, before GST | Assumed package rental | 3.00 | Named spaces, access hours and rain backup. |
| Power and technical support, before GST | Assumed hotel service package | 0.50 | Equipment, operators and included hours. |
| Outside-vendor access | Assumed waived | Not added | Obtain the waiver in writing. |
| Automatic food-bill service charge | Not budgeted | Not added | Challenge any compulsory gratuity-style addition. |
| Hotel subtotal, before GST | Sum of chargeable hotel lines | 39.50 | Check for duplicated inclusions. |
| Hotel GST | 18% of the hotel subtotal | 7.11 | Confirm the assumed classifications. |
| Hotel payable, including GST | Subtotal plus GST | 46.61 | Match the payment schedule to this amount. |
| External décor and sound, including GST | Assumed separately contracted package | 4.00 | Confirm deliverables and avoid duplicating technical support. |
| Combined total, including stated GST | Hotel plus external package | 50.61 | This is the defined comparison scope, not every wedding expense. |
Show refundable security separately from spending. Also attach a change-order sheet: record who may approve extras, the agreed unit rates and the method for reconciling the final bill. A package should not become an open-ended authorisation for whichever relative happens to be available.
Which contract clauses can change the final cost?
Read the financial consequences of a smaller event, a changed date and a cancelled booking before paying. Ask the hotel to calculate the amount payable under each scenario using your proposed contract, rather than accepting a verbal explanation.
Attrition and cancellation
Attrition concerns unused contracted inventory; cancellation concerns abandoning the booking.3 Illustratively, a block of 200 room-nights allowing a 10% reduction, with only 170 used, leaves 10 chargeable room-nights; at a full-rate penalty of ₹8,000 each, exposure is ₹0.8 lakh before applicable tax.13 This allowance and penalty are assumptions, not standard hotel terms.
For cancellation, record each deadline, the charge base, treatment of deposits, applicable taxes and refund timing. Distinguish cancellation from postponement. Request terms for a hotel cancellation, unavailable contracted facilities and force-majeure events. Ask whether rooms resold by the hotel reduce your liability; do not assume a resale credit.
Payment schedule, validity and holds
Separate quote expiry from the expiry of a tentative date hold. Obtain written confirmation of what secures the rooms and spaces. List each payment milestone, its calculation base and cumulative amount paid. Ask whether advances reduce the final balance and how the final adjustment or refund is handled. Avoid paying against an unsigned inclusion sheet.
Outside vendors, sound and permissions
Request a complete levy schedule before appointing vendors, including panel restrictions, electricity, rigging, cleaning and overtime. Require receipts and a stated basis for any permission charge. Loudspeaker and sound-amplifier use requires written permission from the notified authority; a hotel’s commercial approval is not that permission.14
Put permitted sound hours and the responsibility for local permissions into the agreement. Price any indoor continuation separately, without assuming it is automatically permitted. Ask the hotel to distinguish government fees from its own handling charges and identify the position on applicable music rights and alcohol permissions.
How do you compare quotes on an all-in per-guest basis?
Give every hotel the same programme and compare the complete, tax-inclusive cost of that scope per unique guest. Keep contingent cancellation liabilities and refundable deposits visible, but separate from expected spending.
Use: matched-scope hotel payable + necessary external spending + uncovered logistics, divided by unique guests. Count a returning guest only once in this denominator; meal covers belong in the catering calculation. Mark unquoted essentials as unresolved, not free.
| Proposal | Hotel including GST (₹ lakh) | External package including GST (₹ lakh) | Combined total (₹ lakh) | Per unique guest (₹) |
|---|---|---|---|---|
| Illustration A | 46.61 | 4.00 | 50.61 | 25,305 |
| Illustration B | 45.00 | 7.00 | 52.00 | 26,000 |
Illustration B has the lower hotel bill but the higher complete comparison cost.15 Also compare room liability, cancellation exposure and rain backup. For the broader budget outside this venue scope, use the destination wedding cost guide.
What should you negotiate with an Indian hotel?
Negotiate commitments and usable inclusions alongside headline rates. Date flexibility, overall hotel spending and room-block terms provide negotiation options, but none guarantees a concession.16
Ask the hotel to price alternative dates rather than declaring that weekdays must be cheaper. Offer a realistic combination of rooms and functions, then request a reduced venue rental, an appropriate meal guarantee or a clearer package. Do not guarantee unnecessary rooms merely to obtain a discount.16
Prioritise inclusions you would otherwise buy: breakfast, room upgrades, vendor meals, changing space, setup access, furniture or essential technical support. Request the waived outside-vendor levy, a usable room-release allowance and fixed overrun rates in the revised quotation. A concession matters only when it reduces spending or risk without weakening the event.
Bring comparable written proposals, not unsupported competitor prices. Ask for a consolidated final offer and ensure it matches the contract and event instructions. Use the questions to ask before paying a venue deposit to close unresolved commercial points.
How we estimated these numbers
The numerical examples demonstrate quotation arithmetic, not surveyed market prices. Their assumptions are disclosed so you can replace them with actual offers; official GST material supplies the tax framework.12,15
Hotel-group descriptions inform the scope checklist; published banquet-costing guidance explains minimum guarantees, and event-industry guidance informs room-block checks.2,3,5 Illustrative room, meal, rental and production amounts were chosen for transparent calculations, not inferred as rates available at any property.12
There is no claim here that comparable scope can be bought at those amounts in every city or season. Have the hotel confirm current tax treatment, permissions, availability and the signed contractual position before transferring an advance.
Frequently asked questions
Does a per-plate package include accommodation?
Do not assume that it does. Ask for rooms and meals to be identified separately, including the dates, occupancy and breakfast entitlement. Hotel wedding offerings can include several different services, but the quotation must establish what you are purchasing.5 Check especially for breakfast appearing in both the room plan and the banquet schedule.
Can I reduce the room block after paying a deposit?
Only rely on reductions expressly allowed by your agreement. Room-block attrition and release terms can leave you liable for unused inventory.3 Before paying, request the reduction allowance, deadlines, fee calculation and treatment of guest bookings made outside the block. Obtain written approval for later changes.
Can an older quotation use outdated room GST?
Older paperwork should not be accepted without checking the applicable rate. Ordinary accommodation valued up to ₹7,500 per unit per day moved to 5% GST from 22 September 2025; above that threshold, the rate is 18%.8 Ask the finance team to revise the quotation and explain any different treatment of a bundled package.
Is a hotel service charge the same as a government tax?
No. CCPA guidance says food-bill service charge cannot be added automatically, collected compulsorily or disguised under another name.4 Require GST to be shown separately and challenge a compulsory gratuity-style addition. Any proposed event staffing should have defined deliverables, not merely a different label.
How should refundable security deposits appear in a comparison?
Show them as cash you must temporarily provide, separately from expected spending. Request the refund deadline, permitted deductions and evidence needed for damage claims. Keep an uncertain or disputed refund visible as a risk rather than silently treating it as either a guaranteed refund or a permanent expense.
What should an NRI family confirm before transferring an advance?
Ask for the signed agreement, a matching invoice, the beneficiary’s legal name and independently verified payment instructions. Clarify payment currency, bank charges and refund arrangements. Nominate an authorised local representative and state who may approve extra spending, so overseas availability does not become an excuse for unapproved additions.

- Under the hypothetical full-room-rate attrition clause, 200 contracted room-nights with a 10% allowance and 170 used leaves 10 chargeable room-nights, costing ₹0.8 lakh before applicable tax at ₹8,000 each. WedAGI estimate: The assumed allowance is 200 × 10% = 20 room-nights; the shortfall is 200 − 170 = 30, leaving 30 − 20 = 10 chargeable room-nights; 10 × ₹8,000 = ₹0.8 lakh; neither the allowance nor charging at the full room rate is presented as an industry standard, and the source supports only the contractual attrition framework. - For identical illustrative scope and 200 unique guests, proposal A costs ₹50.61 lakh or ₹25,305 per guest, while proposal B costs ₹52 lakh or ₹26,000 per guest despite B having the lower hotel-only bill. WedAGI estimate: Proposal A uses the disclosed sample total: (₹46.61 lakh hotel + ₹4 lakh external package) ÷ 200 = ₹25,305; proposal B assumes ₹45 lakh hotel including GST plus ₹7 lakh for equivalent external deliverables including GST, giving ₹52 lakh ÷ 200 = ₹26,000; both retain identical exclusions; the source-informed cost categories are populated with hypothetical inputs, not observed market quotes.
