Questions to ask a wedding venue in India before a deposit

A practical checklist for getting clear answers, spotting risky promises and comparing hotel wedding proposals before your family commits money.

Quick answer

The essential questions to ask a wedding venue cover availability, exclusivity, usable capacity, rain backup, rooms, meal guarantees, vendors, sound restrictions, taxes and cancellation. Get the answers incorporated into the booking agreement before paying a deposit. As of 2026, hotel accommodation GST spans 5%–18%, depending on taxable room value; do not assume that range describes the entire wedding package.1

  • Put named spaces, exclusive access, rain backup and agreed inclusions into the booking agreement.
  • Compare the same room nights, meal guarantees and tax-inclusive scope, not just the headline per-plate price.
  • Treat missing charges as unresolved, not included, and make permission responsibilities explicit.
  • Resolve cancellation, postponement, unused rooms and venue non-performance before paying a deposit.

The most useful questions to ask a wedding venue turn a sales conversation into a clear booking scope. Start with your dates, function-wise guest counts, overnight guests and maximum spend. Then ask the hotel to document what it will deliver, what costs extra and what happens when plans change. Use this wedding venue checklist for India during enquiries, the site visit and contract review.

What are the first questions to ask a wedding venue?

Confirm date availability and exactly what exclusive use covers. Ask for the booking status of both event spaces and accommodation before discussing upgrades.

  • Are our dates available, provisionally held or awaiting another booking decision? Request the hold expiry and conditions for confirmation, so an availability reply is not mistaken for a reservation.
  • Which spaces and access periods belong exclusively to our wedding? Name lawns, halls, foyers, pools and entrances, including setup and dismantling; this prevents competing claims over shared areas.
  • What other events, resident guests or public restaurant operations will share the property? Ask about access separation and sound spill, so privacy is defined rather than implied by a buyout label.
  • Is renovation or maintenance planned during our stay? Ask for the affected areas and a written remedy if promised facilities become unavailable; avoid paying for facilities you cannot use.

Red flag: pressure to pay immediately while the hotel will not identify the reserved spaces, hold deadline or scope of exclusivity.

Will the venue fit our wedding layout and rain backup?

Require capacity for your actual seating, stage, mandap and buffet layout, plus a usable bad-weather alternative. A headline maximum is not enough.

JW Marriott Hotel Pune lists an event space for 200 reception guests but 130 banquet guests, illustrating why the seating format matters.2

  • Can you provide a scaled layout for each function? Include aisles, service stations and emergency exits; this exposes crowding hidden by an empty-hall inspection.
  • Which indoor space is reserved if the weather turns? Record its capacity, availability, changeover trigger and relocation costs; an unreserved alternative is not a dependable backup.
  • Can elders and wheelchair users reach rooms, toilets and functions without difficult steps? Walk the route, inspect accessible facilities and check buggy availability; photographs cannot establish a workable guest journey.
  • What supports safe operation during a power failure? Request relevant fire and occupancy documents, the evacuation plan and backup-power coverage; establish which essential facilities remain usable.

Red flag: rain backup depends on another event finishing, or capacity is confirmed without showing the proposed layout.

What should we ask about wedding rooms and arrivals?

Get a room allocation by date, category and occupancy, not just a headline room count. Define who pays and what happens to unoccupied rooms.

  • How many rooms are actually committed on each night? Separate guaranteed inventory from additional rooms subject to availability; this prevents a brochure room count becoming an assumed allocation.
  • What is included for adults, children and extra beds? Confirm breakfast, permitted occupancy, connecting rooms and accessibility requirements; avoid allocating guests to unsuitable rooms.
  • What are the check-in, checkout and early-arrival arrangements? Price guaranteed early access separately and identify luggage storage and changing rooms; flight arrival does not establish room readiness.
  • When can we release rooms, and what remains payable afterward? Ask about unused-room charges, no-shows, date changes and guest-paid bookings; ensure the family understands its remaining commitment.
  • Who pays for incidental spending? Define whether room service, minibar, laundry and damage charges belong to guests or the family’s account, and who may authorise transfers; prevent unexpected master-bill additions.

Red flag: the proposal gives a room rate but no night-by-night allocation or release terms. Build your allocation using the wedding room block guide.

Food and bar: define the menu and the billing basis

Ask for function-specific menus, guaranteed meal counts and a defined bar scope. Separate what guests may consume from what the family must pay for.

  • What exactly does each meal include? Specify dishes, live counters, beverages, water, service duration and tasting arrangements; avoid comparing menus that merely share a package name.
  • When do meal guarantees become final, and how are extra guests counted? Define billing for children, vendors, drivers and non-resident guests, plus who verifies attendance; prevent disputes at settlement.
  • Can the kitchen meet our dietary requirements? Document Jain preparation, fasting food, allergies, separate utensils where needed and outside-sweet policies; request an operational answer rather than a broad assurance.
  • Who handles bar permissions and consumption control? Request applicable licence details, event-area coverage, sourcing conditions, dry-day checks, service hours, corkage, mixers and stock reconciliation; do not order alcohol on informal assurances.

Red flag: open-ended bar consumption, undefined meal counting or dietary promises that the kitchen has not confirmed.

Décor and vendors: establish freedom, access and charges

Confirm vendor restrictions and the full cost of bringing your team. Document the access and technical facilities they need to deliver the design.

  • Which vendors must come from the hotel’s approved panel? Separate compulsory appointments from recommendations, request outside-vendor fees and establish who contracts with each supplier; avoid discovering restrictions after appointing your team.
  • When can installation, sound checks and dismantling happen? Confirm loading access, storage, staff entry, meals and accommodation; protect the time needed to build and clear each function.
  • What infrastructure is included? List furniture, linen, staging, power supply, rigging points and technical supervision; give your decorator and sound team the same specification.
  • Which design or ceremony elements need approval? Check havan arrangements, flames, fixings, hanging loads and effects, plus damage assessment and deposit-return terms; resolve impractical design choices before purchasing them.

Red flag: a compulsory vendor cannot provide an itemised scope, or technical charges will only be disclosed after booking.

How late can wedding music play?

Plan around the written legal and venue limits, not a verbal promise of late music. Loudspeaker and public-address use requires written permission from the competent authority.3

The national rules generally restrict amplified sound outdoors during 10 pm–6 am; limited notified relaxations should not be assumed for your wedding.4

  • What are the permitted timings for every event space? Separate outdoor music, indoor music, baraat, food service and venue closure; build the function schedule around the actual restrictions.
  • Who obtains permissions and supplies copies before the event? Name the responsible hotel or vendor representative and request the basis for any claimed exception; accountability is more useful than reassurance.
  • What is the indoor alternative, including relocation and overtime charges? Check its layout and availability before booking. The closed-premises exception does not remove boundary noise limits.4

Red flag: promises that authorities can be informally managed, or an extension fee presented as sufficient permission for late outdoor sound.

What should the wedding quote include before a deposit?

Request an itemised, tax-inclusive total for the agreed scope, with exclusions and optional upgrades separate. Compare committed expenditure, not just the smallest advertised rate.

  • What is the minimum commitment? Separate room commitments, meal guarantees, venue hire and spending thresholds; confirm which purchases count toward each threshold.
  • Which charges remain outside the package? Ask about power, air-conditioning, cleaning, security, valet, vendor access, overtime and service charges; require an explicit included, excluded or not-applicable response.
  • Which prices are fixed, and what can change? Record quote validity, escalation terms and who approves additions; request written authorisation before extra spending.

Use the accommodation thresholds below as a room-invoice check, as of 2026; these are tax thresholds, not market room-price estimates.1

Hotel accommodation GST check1
Taxable accommodation value (₹ per unit per day, before GST)GST rate (%)What to verify
Up to and including ₹7,5005%Taxable value and room inclusions
Above ₹7,50018%Taxable value and room inclusions
These rates concern hotel accommodation, not an automatic tax rate for the complete wedding package.

A bundled package needs its own GST classification; the tax treatment of composite and mixed supplies is not determined by the package’s marketing name.5 Alcoholic liquor for human consumption is outside GST; request the applicable state taxes and separate treatment of bar services.6

Red flag: a lump-sum total with unexplained taxes or missing exclusions. Use the hotel wedding quote guide to reconcile the proposal.

Contract terms: resolve what happens when plans change

Ask for the booking agreement and its schedules before transferring money. Make the consequences of cancellation, postponement and venue non-performance explicit.

  • What does the deposit secure, and when are later payments due? Match the legal contracting entity, authorised signatory and payment beneficiary; verify changed payment instructions independently.
  • What happens if we cancel, postpone or reduce the wedding? Request the calculation at each payment milestone, credits, rescheduling conditions and refund deadlines; do not assume postponement preserves all money paid.
  • What happens if the hotel cannot deliver the agreed spaces or rooms? Ask for refund obligations, acceptable alternatives and responsibility for relocation costs; distinguish family cancellation from venue failure.
  • How are force majeure, damage and disputes handled? Request definitions, evidence requirements, notice procedures and the agreed dispute process; have a lawyer review material financial exposure.

Attach the final quote, event schedule, menus, room allocation, layouts and permission responsibilities. Specify which document prevails if terms conflict, and require written approval for substitutions.

Red flag: a deposit request arrives before the agreement, or cancellation language gives the venue discretion without a defined refund process.

How do we send wedding venue enquiries that compare fairly?

Send the same brief and response headings to each venue. Keep your requested scope fixed, and ask venues to identify deviations rather than silently substitute alternatives.

ITC Hotels’ wedding enquiry form separately requests event dates, guest numbers and rooms, a useful starting structure for your brief.7

Mark each answer as confirmed, conditional or unanswered. Compare totals only after room nights, meal counts, venue access and taxes line up. Follow up on unresolved items in the existing thread, then retain the revised proposal and agreement together.

How we checked the numbers and their limits

The figures here are published tax thresholds and a hotel’s stated capacity, not estimates of wedding prices. The checklist is practical procurement guidance, not a claim that hotels share identical policies.

Accommodation taxation was checked against GST Council material and subsequent reporting; the capacity illustration comes from the property’s official event page.1,2 Sound guidance follows the national rules, with local permissions still requiring event-specific checking.3,4

Published capacity is not approval of your final layout. Reconfirm the applicable taxes, permissions and signed commercial terms for your actual dates; have a qualified adviser review disputed tax or contract provisions.

Frequently asked questions

Can we reserve the date without immediately paying?

Ask for a written provisional hold with an expiry and a clear description of what it covers. Treat that as a request, not an entitlement. Confirm whether accommodation and event spaces are held together, and what action converts the hold into a confirmed booking. Avoid announcing arrangements as secured while their status remains conditional.

Should we inspect the property before committing money?

Arrange a visit that tests the proposed guest journey, not just the prettiest function area. Inspect your allocated room categories, rain backup, toilets, arrival access and vendor loading route. NRI families can request a live walkthrough and appoint a local representative. Keep unresolved observations in writing before approving the agreement.

Does a venue buyout automatically make every facility private?

Do not assume so. Ask the agreement to define exclusive rooms, event areas, restaurants, pool access and arrival spaces, together with the access periods. Ask about existing resident guests and other bookings. Judge privacy by the written allocation and access plan, not by the buyout label.

How should we handle a menu tasting?

Request the tasting terms before committing: which proposed dishes will be served, whether the session is chargeable and how changes will be approved. Ask the kitchen to confirm dietary preparation separately. Afterward, attach the agreed menu and service scope to the booking documents rather than relying on informal feedback.

Can the family bring alcohol purchased elsewhere?

Ask the hotel to confirm the lawful source of supply, relevant licence coverage and any event permission before buying stock. Also request its outside-alcohol policy, corkage, storage and reconciliation arrangements. Do not treat a willingness to charge corkage as confirmation that your proposed procurement and service arrangements are permitted.

What should we do when a venue leaves questions unanswered?

Keep those items marked pending and request a revised proposal. Do not interpret silence as inclusion or approval. Separate essential requirements from negotiable preferences, and pause the deposit when an essential item remains unresolved. A comparison is useful only when it makes uncertainty visible rather than hiding it inside a total.
