Hotel room block for wedding in India: rooms and costs

Count the guests who need beds, price the nights they will actually stay, and understand the financial commitment before reserving hotel rooms.

Quick answer

A hotel room block for wedding guests starts with overnight guests, not the invitation count. As of 2026, allow roughly 0.4–0.6 rooms per staying guest: 80–120 rooms for 200 people, depending on family sharing and single occupancy.1 In-season five-star city-hotel rooms have an estimated planning range of ₹10,000–₹18,000 per night before GST.2 Confirm occupancy, release deadlines and unused-room liability before paying.

  • Count staying guests by household and by night, rather than dividing the entire invitation list.
  • Confirm children’s sharing, meals and extra beds; a child-inclusive stay does not necessarily include every extra.3
  • A courtesy block and a guaranteed block carry different financial obligations; identify which agreement you are signing.4
  • Compare the accommodation bill after GST, then separate hosted rooms from guest-paid extras.

A hotel room block for wedding guests sets aside accommodation for the group, with agreed dates, rates and booking conditions.4 Start by agreeing who needs a room, who can comfortably share, which nights are required and who will settle the bill. A modest-looking room rate is not useful when the commitment includes beds your guests will never occupy.

How many rooms do you need for a destination wedding?

Use 0.4–0.6 rooms per overnight guest for an initial estimate, then replace that estimate with a household-by-household rooming list.1 The range represents different sharing patterns, not a measured Indian wedding average.

Couples or willing twin-sharing adults need about 0.5 rooms per person; a permitted arrangement of parents with a child uses about 0.33, while an adult wanting privacy needs 1.1 Remove local guests who will go home. Keep children in the accommodation headcount even when their meal charge differs.

The calculator below assumes everyone stays for 2 nights and the hotel accepts the proposed child-sharing arrangement; it is an illustration, not a booking recommendation.5

Child sharing is conditional on the room category, occupancy limits and written child policy; meals and extra beds may cost extra.

The result is 98 rooms each night, or 196 room-nights—not 196 separate rooms.5 Make a date-by-date grid when arrivals vary. Add crew accommodation, a separate dressing room and any genuinely additional suite without counting the couple or their bedroom twice.

Mark each allocation confirmed, tentative or declined. Ask for tentative rooms to remain on a releasable hold where possible, rather than adding an automatic paid buffer. Record twin-bed requests, accessibility needs and family proximity alongside the names.

What does a hotel room block for wedding guests cost?

As of 2026, use the following category-level allowances for in-season rooms, excluding GST.2 These are budgeting estimates informed by hotel-industry reports, not published group tariffs or guaranteed quotes.

In-season accommodation planning allowances, as of 20262
Hotel categoryDouble-occupancy room (₹ per room per night, GST excluded)Budgeting scope
Boutique hotel or heritage haveli₹6,000–₹12,000Ordinary guest rooms; not iconic heritage suites
Five-star city hotel₹10,000–₹18,000Standard room categories
Five-star destination resort₹15,000–₹30,000Standard resort rooms; special villas excluded
Palace hotel or ultra-luxury resort₹25,000–₹50,000Entry categories; exceptional dates can exceed this allowance
Room-only comparison basis. Request breakfast, extra occupants, transfers and mandatory inclusions separately; do not assume that every quote includes them.

A national average is not a wedding-season quote: industry reporting identifies weddings as a seasonal demand driver and shows substantial differences between hotel markets and portfolios.6 Request the same room categories, occupancy, meal basis and cancellation flexibility from each shortlisted property.

Price accommodation separately from catering, event spaces, décor and transport. These room allowances are not complete wedding budgets; use the destination wedding cost guide for that broader comparison.

How much GST applies to wedding guest rooms?

As of 2026, hotel accommodation valued at up to and including ₹7,500 per unit per day attracts 5% GST without input tax credit for the supplier; accommodation above that threshold attracts 18%.7 The lower rate took effect on 22 September 2025.7

The threshold concerns the accommodation supply value, not the wedding’s total bill or the hotel’s star category.7 Ask for the taxable room value, GST and payable total by category and night. Have the hotel explain the classification of bundled meals or other services rather than applying a room rate to an undivided wedding package.

For the worked allocation, 196 room-nights at the city-hotel planning range of ₹10,000–₹18,000 produce approximately ₹23.13–₹41.63 lakh including 18% room GST.8 This illustration excludes meals, extra beds, transfers and events.

For a threshold illustration, a taxable room value of ₹7,500 becomes ₹7,875 after GST, while ₹7,600 becomes ₹8,968.9 Ask for an itemised invoice basis, particularly when an extra occupant changes the accommodation charge. The hotel wedding quote guide explains how to compare inclusions.

What belongs in a wedding room block contract?

Your wedding room block contract should show the inventory, the payable amount and the circumstances in which that amount can change. Ask whether it is a courtesy arrangement without an unused-room guarantee or a contracted block carrying financial liability.4

Do not accept “rooms as discussed” as the inventory schedule. Specify categories, nightly quantities, occupancy, twin or king beds, accessible rooms and substitution approval. Record breakfast entitlement, extra-bed arrangements, taxes and any suite concessions in the signed schedule.

Separate room payment from incidental spending. Give the hotel a written billing instruction naming who approves additions and which charges go to the family’s master account. Require guest consent for guest-paid upgrades instead of allowing a relative’s request to silently enlarge the host’s bill.

For guests booking themselves, request a hotel-issued booking link or group code; hotel groups offer mechanisms that let guests reserve within a block at the agreed group rate.10 Maintain a matching family spreadsheet, and ask the hotel to reconcile names, arrival dates and payments before the rooming list is finalised.

Ask what happens if a confirmed category becomes unavailable: specify acceptable replacement accommodation, who approves it and who pays any transfer or rate difference. Use the venue questions checklist before paying a deposit.

How do attrition, release dates and cancellation work?

Attrition concerns an unfilled financial commitment; a release date concerns when unreserved inventory returns to general sale.11 Releasing inventory does not, by itself, promise that the host’s financial liability disappears.11 Read those provisions together.

For the room attrition clause, ask whether the commitment is measured nightly, across total room-nights or by accommodation revenue.11 These structures are not interchangeable when guests arrive and depart on different days. Request a worked shortfall calculation in the hotel’s proposal.

Keep the penalty-free reduction deadline, guest booking cutoff, rooming-list deadline and payment dates visible separately. Ask for staged reductions and a written release acknowledgement. Negotiate credit for rooms the hotel resells, and require the contract to prevent overlapping recovery for the same loss.

Minimum stays and cancellation conditions are rate-plan specific; published Indian hotel offers demonstrate that a minimum stay can accompany non-cancellable terms.13 Ask whether the minimum applies to each guest reservation or the whole block, and negotiate arrival-night and departure-night quantities independently.

Distinguish partial reductions from cancelling the entire wedding. Request a dated cancellation schedule showing the calculation base, deposit adjustments, no-show and early-departure treatment, and the refund-versus-credit terms for postponement. Ask how travel disruption or hotel closure is handled. For substantial guarantees, have a lawyer review the agreement before signing; do not treat a deposit as the maximum possible liability.

When does splitting guests across hotels work?

Split accommodation when the savings or extra capacity justify the transport and coordination. Keep grandparents, guests with mobility needs and people involved in early ceremonies close to the main functions; offer an overflow hotel to guests comfortable with transfers.

An illustration: moving 30 rooms for 2 nights from an assumed ₹15,000 to ₹10,000 per night saves ₹3 lakh before GST.14 Count that saving only if the main hotel’s charged commitment actually falls. Deduct shuttle costs, additional hospitality staffing and any lost package concessions before choosing the cheaper arrangement.

Test the route at the time guests will travel, including the late-night return. Check coach access, parking, pickup shelter and the process for a guest who needs to leave early. Publish transport departures alongside the function schedule, and make somebody responsible for both hotels’ guest lists.

Avoid splitting simply to secure a prestigious main address. Compare room quality, breakfast access and convenience openly; guests should understand what they are being offered. Keep household groups together and reserve flexibility for medical or accessibility needs.

Who pays for wedding guest rooms?

There is no single contribution formula for Indian families: couples may fund the celebration themselves, receive family support or divide responsibilities by expense.15 Decide accommodation hospitality explicitly rather than assuming that a wedding invitation settles who pays.

Practical arrangements include hosting the core stay for invited guests, having each family cover its own guest allocation while sharing common rooms, or hosting close family while other guests book and pay themselves. Treat these as choices to discuss, not claims about a universal custom or a gender-based obligation.

For family-side accounting, use the agreed room-nights and room categories rather than splitting the bill equally despite different guest lists. Decide separately how to allocate the couple’s suite, crew rooms and parents’ upgrades. Settle those principles before distributing booking instructions.

Tell guests exactly which dates and room category are hosted, whether breakfast is included and who pays for personal extensions, upgrades, laundry or minibar use. For self-paid stays, share the complete payable rate and cancellation terms before asking guests to commit. Avoid announcing an expensive hotel as compulsory without discussing affordability.

Keep payment and guarantee responsibilities separate. Even when guests pay for their stays, ask who remains responsible for unfilled rooms under the signed block agreement.11

How we estimated these numbers

The room counts are transparent occupancy illustrations, and the rate bands are editorial planning estimates rather than a survey of wedding contracts. Public industry reports supply market anchors; written proposals for your dates must replace them before booking.1,2

HVS’s India overview and Hotelivate’s quarterly market and portfolio data inform the relative price levels. Annual and quarterly averages mix booking types and cannot establish a particular wedding’s seasonal tariff. The broad bands allow for that uncertainty without claiming a measured group discount.6

GST is checked against government material.7 Published hotel terms illustrate how occupancy and stay conditions can differ; global hotel material is used only to explain courtesy versus guaranteed structures, not to prescribe Indian deadlines.3,4,13 The illustrative calculations exclude unlisted services, and the checklist is not a substitute for contract-specific legal or tax advice.

Frequently asked questions

Should local guests be included in the room calculation?

Include local guests only when they actually need accommodation, for example because ceremonies finish late or travel home is inconvenient. Ask directly rather than allocating rooms from reception attendance. Keep a separate list of local guests requesting a room so their needs are visible without inflating every night’s block.

Can children share their parents’ room without extra charges?

Do not assume that sharing means everything is free. Published hotel terms can include a child’s stay while leaving meals or extra-occupant charges subject to separate conditions.3 Give the hotel children’s ages and request written confirmation of occupancy, bedding, breakfast and charges for the exact category being booked.

Does single occupancy make a room cheaper?

Ask for separate single- and double-occupancy quotations instead of treating a single guest as a fractional room. For an adult who needs privacy, the calculator allocates 1 room, not 0.5.1 Compare the actual rate difference and meal entitlement before estimating savings from guests staying alone.

Will guests’ independent online bookings count toward our guarantee?

Do not count them unless the agreement expressly credits those bookings to your wedding commitment. Indian room-block guidance identifies outside-block bookings as a potential source of a shortfall.16 Ask how reservations will be matched, including different surnames, and obtain a reconciliation before any shortfall charge is calculated.

How should we handle NRI guests arriving early in the morning?

Request guaranteed room access in writing; published hotel offers can make early check-in subject to availability.13 Where rest on arrival is essential, ask about reserving the preceding night and notifying the hotel of the actual arrival time. Clarify whether the family or the guest pays for that additional accommodation.

Is booking a room block the same as buying out the hotel?

Treat them as different requests. A room block should specify the accommodation held; any exclusive-use arrangement should separately name rooms, event spaces, public areas and permitted outside access. Ask the hotel to state exactly what remains shared, rather than assuming that a large accommodation bill gives exclusive use of the property.

An illustrative initial allowance is 0.4–0.6 rooms per overnight guest, or 80–120 rooms for 200 guests, with approximately 0.33 for an allowed parent-and-child triple, 0.5 for an adult pair and 1 for single occupancy. WedAGI estimate: Occupancy arithmetic, not a prevalence survey: 40 permitted triples plus 40 doubles accommodate 200 people in 80 rooms; 100 doubles require 100 rooms; 40 singles plus 80 doubles require 120 rooms; the official child policy establishes that child sharing is conditional, not a universal entitlement.
